Privacy Policy

Panel Parrot (“Panel Parrot,” “we,” “us,” or “our”) is operated by Coemgen Labs, LLC, a company based in the United States. Panel Parrot helps conference panel moderators and organizers plan panel sessions, generate agendas and questions with AI assistance, and coordinate with panelists.

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to panelparrot.com and related subdomains, our web application, and communications we send (together, the “Service”).

1. Who this policy covers

Panel Parrot has two kinds of users:

Moderators and organizers create an account, build panels, and pay for premium features. If you are a moderator, you are our direct customer.

Panelists are invited by a moderator via a private link. Panelists do not create accounts or passwords. When a moderator invites you, they provide us your name and email address, and we process that information on their behalf so you can participate in the panel. If you have questions about why you were invited or want your information removed from a specific panel, you can contact the moderator who invited you or contact us directly.

2. Information we collect

Account information (moderators). When you sign up or sign in — including via Google, LinkedIn, or Microsoft — we receive your name, email address, and profile picture from the sign-in provider. We do not receive your password for those services, and we do not gain access to your files, contacts, calendar, or other data held by those providers. Authentication is handled by our identity provider, Clerk.

Panel content. Information you enter while planning and running a panel: session briefs, topics, generated and edited questions, run-of-show segments, comments, announcements, and notes.

Panelist profile information. Names and email addresses provided by moderators, plus any information a panelist chooses to add: bio, headshot, question suggestions, votes, comments, and uploaded files.

Files. Documents, images, and other assets uploaded to a panel are stored privately and served via time-limited signed links.

Payment information. Payments are processed by Stripe. We do not collect or store your full card number. We receive limited transaction details (such as the last four digits of your card, payment status, and billing email) to record your purchase.

Emails and communications. We send transactional and coordination emails (such as invitations, confirmations, reminders, and activity digests) through our email provider, Resend. We keep a log of which emails were sent to prevent duplicates and honor unsubscribe requests.

Usage and device information. Like most web services, we and our hosting provider automatically collect standard technical data: IP address, browser type, device type, pages visited, and approximate general location derived from IP. We use Google Analytics 4 to understand, in aggregate, how visitors find and use the Service. Google Analytics sets cookies and collects usage and device information; Google Analytics 4 does not log or store full IP addresses. Google processes this data as our service provider, and we do not use it for advertising. You can opt out of Google Analytics across all websites using Google’s browser opt-out add-on, or by blocking cookies (see below).

Cookies. We use strictly necessary cookies for sign-in sessions (Clerk) and payment processing (Stripe), and analytics cookies set by Google Analytics to measure aggregate usage. We do not use advertising cookies and we do not show ads. You can block or delete cookies in your browser settings; blocking analytics cookies will not affect your ability to use the Service.

3. How we use information

We use the information above to: provide and operate the Service (creating panels, coordinating panelists, sending invitations and reminders); generate AI-assisted content you request (see Section 4); process payments and prevent fraud; respond to support requests; send transactional emails related to your panels; monitor performance, debug problems, and keep the Service secure; and comply with legal obligations.

We do not sell your personal information, and we do not use your personal information for third-party advertising.

4. AI-generated content

When a moderator asks Panel Parrot to draft questions or a run of show, the panel brief and related panel content are sent to Google’s Gemini models (via API) to generate the requested output. This content may include names and topics you entered. We only send what is needed to fulfill your request, and we do not use your content to train our own models. Google processes this data as a service provider under its API terms.

5. Sign-in with Google, LinkedIn, and Microsoft

When you sign in with a third-party provider, that provider shares your basic profile (name, email, profile picture) with us to create and secure your account. We request only basic sign-in permissions — we do not request access to your email inbox, contacts, calendar, connections, or files.

Panel Parrot’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Who we share information with

We share personal information only with the service providers (“subprocessors”) we use to run Panel Parrot, and only as needed for them to perform their function:

We may also share information within a panel as part of the Service working as intended — for example, a panelist’s name, bio, headshot, and suggested questions are visible to the moderator and other participants of that panel.

Finally, we may disclose information if required by law, to protect the rights, safety, or property of Panel Parrot or others, or in connection with a merger, acquisition, or sale of assets (in which case this policy will continue to apply to your data or you will be notified of changes).

7. Data retention

We keep panel content and account information for as long as your account is active or as needed to provide the Service. If a moderator deletes a panel, its content — including panelist profiles, comments, files, and questions for that panel — is deleted. If you delete your account or ask us to delete your data, we will remove your personal information within a reasonable period, except where we must retain limited records (for example, payment records for tax and accounting purposes, or email suppression lists to honor your unsubscribe choices).

8. Security

We take reasonable technical and organizational measures to protect your information: encrypted connections (HTTPS/TLS), access-controlled databases, private file storage with time-limited signed URLs, and unique unguessable invitation links for panelists. No method of transmission or storage is 100% secure, but we work to protect your data using industry-standard practices.

A note on invitation links: a panelist’s invite link grants access to that panelist’s workspace for a panel. Panelists should not share their invite link with others.

9. Your rights and choices

Access, correction, and deletion. You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing coemgenlabs@gmail.com. We will verify your request and respond as required by applicable law.

Email preferences. Coordination emails include the ability to opt out of non-essential messages. Certain transactional emails (such as an initial invitation or payment receipt) are necessary to provide the Service.

California residents. Under the CCPA/CPRA, you have the right to know what personal information we collect, request deletion, request correction, and not be discriminated against for exercising these rights. We do not sell or “share” (as defined by the CPRA) personal information. To exercise these rights, email coemgenlabs@gmail.com.

International visitors (including EEA/UK). Panel Parrot is operated from the United States and your information is processed and stored in the United States. Where the GDPR or UK GDPR applies, we process your data to perform our contract with you (providing the Service), based on our legitimate interests (securing and improving the Service), or with your consent (where applicable), and you may have rights to access, rectify, erase, restrict, or port your data, and to lodge a complaint with your local supervisory authority. 10. Children

Panel Parrot is a professional tool intended for adults. It is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will delete it.

11. Changes to this policy

We may update this Privacy Policy as the Service evolves — for example, if we add new integrations or analytics tools. We will post the updated policy on this page with a new “Last updated” date, and for material changes we will provide additional notice (such as email or an in-app notice).
